Inbox Zero Report

InBox Zero continues - I have not fallen off the wagon yet- and have been pleasantly surprised how quickly you can dispatch ten or twelve items of marginal value once you get to the point where there are only 16 items to look at in total. The secret is that folder called unread mail - once you have pushed that inbox to Zero you will find that keeping on top of the incoming is a lot easier.

Another tip that I’m starting to employ - One or two subject Tags as a prefix in subject lines such as DEMO: or TRAVEL: - Simple category reminders and acronyms that will be sure to be pulled in some search that I might trigger a few weeks from now. Plus, it’s a way to attract attention and telegraph some of the content to your addressees to cause them to pull and actually read the message.

And then finally, a technique from Lifehacker called the “Trusted Trio - reducing his folder count to exactly three - Action, Archive and Hold. Then let the drill down software take charge of pulling all that stuff up, when (and if) you need it. The hard part of this system is consistently revisiting Action and Hold and complete the “open loops” stowed away there. Just make sure that you never read email in your inbox - just make a triage decision, with liberal use of the trash.

Inbox Zero is the work of Merlin Mann, at the site 43Folders. He also wrote an article at MacWorld that gives a somewhat Mac-centric view - but the principles come through loud and clear.

I think you will be amazed at how much this little technique will help smooth the workday.

    PrivateVPN.com - Part I

    Here’s what’s happening as I get online with PublicVPN , a service designed for individuals, small business, and consultants.

    It’s probably old hat to a lot of SDR listeners. On the other hand, some of you who are primarily business or government types who rely upon your company IT, as I do you might find this interesting when you have to catch some WiFi on your own hook.

    There are really two items of concern: connecting to open WiFi access points when you are traveling and should know better, or connecting to access points that are “secure” in higher class hotels or at client sites that lead you to a false sense of security.

    The problem is acute (and obvious) when you are in a hotel or coffee shop that provides “Free WiFi” where there are lots of opportunities for packet sniffing at your expense. Or, when you have been trying to grab a connection to check email in a forest of access points.

    Up until yesterday, I thought that WEP was at least some level of privacy, and that the main effect was to cause bad guys to move along to open access points. The Informit.com article on the ChopChop program that I cited yesterday finally bought it into focus - WEP is just about worse than no encryption at all. My conclusion is that business travelers in hotels with “secure” WiFi are particularly attractive targets.

    PublicVPN.com is $6 a month, pay as you go,and will cover this next trip without a problem. I see that the install is something that you do in the morning when you are fresh and on the ball, not at the end of a day. One thing that I did learn, is don’t try the setup in one window and actually doing the download in another window. Either print it out or find another box that you can use in parallel to read the instructions and perform the operation on the laptop. I’ll tackle part 2 tomorrow.

    PublicVPN is upfront that my connection speeds will be degraded. It’s going to be interesting to see how much. If you are using WiFi, you’ll find that it is a hit that you are willing to take. Compared to the alternative.

    Skype Makes a Move

    If you recall a few weeks ago we spent some time discussing Voice 2.0 . I think that I have mentioned recently that for most calls personal and business - the convenience of Skype and - in general - the superior audio quality, built in IM and presence pointed me more and more to use it for contacting colleagues and family members. Half the time I was already paying the two Euro cents per minute just for the quick convenince of not having to dial through the company system or enter the credit card.

    All of Voice 2.0 is accelerating towards us.With interesting timing, the first link fell into place today.

    You probably received an email from Skype with some pretty interesting details on a new program - free Skype-Out in North America. All Free, until January 1, 2007. That means that in addition to the free Skype to Skype calls, you can now - at least through the end of the year - place calls to any phone on the PSTN , landline or mobile phone in North America through the Skype network. That means that with Skype on a U3 enabled USB thumb drive, a mobile style headset and net access on any arbitrary PC - you have all that you need to place calls into the mobile network - and for a low charge from Skype use their inward bound VoiceMail. Or with a WiFi enabled laptop or Portable PC - or dedicated Skype WiFi phone and an open WiFi hotspot - replicate the same experience.

    Some interesting timing. Late yesterday, the were revelations on landline call monitoring reported on CNN - which said that VoIP calls were not a part of the most recent government program. And, as you know, Skype calls are supposedly encrypted. Add to this the lead story on a news reporter who believes that his call records were being analyzed and back tracked to hunt for supposed leaks, and the land rush is on.
